Purpose and Overview
Purpose & Overview

The Annual General Meeting of the BMW Car Club of British Columbia provides an opportunity for all members interested in the operation of their club to participate. Activities at the AGM include election of Directors, reports to the membership on activities and progress in the club, and voting on such resolutions and bylaw changes that may be necessary to properly effect the day to day operation of the club.

The 2007 AGM is scheduled to be a standalone meeting on Saturday November 24, 2007. The meeting will be called to order at 2:00 p.m. Registration, social time and sign in will be available from 1:00 p.m. onwards. You must be a member in good standing to attend and vote. There is no cost to the member to attend the meeting, although we may arrange a pre meeting social get together opportunity.

Directors for the BMW Car Club of BC are elected for a two (2) year term, such that at each AGM roughly one half of the directors positions are up for election.
Nominations for directors positions are handled by the nominating committee which seeks eligible candidates to run for the available positions. It is the responsibility of the Board of Directors to insure proper conduct of the administrative affairs of the Club, the fulfillment of duties by its officers and to determine all matters of Club policy.

Nominations for candidates to this years election must be received by Nov. 5, 2007 and candidacy statements must be received by the same date of Nov. 5, 2007.
Statements and ballots will be available to members in an election package that can be requested by all eligible members.

Any eligible member may be nominated for an elected board position. Nominations require the approval of the candidate. It is recommended that persons willing to run for the board be members for at least 3 and preferably 6 months prior active club participation.

Nominations
 Nominations for Board of Directors

The BMW Car Club of BC is governed by an elected Board of Directors that shall consist of a minimum of 5 and up to 10 or more directors who serve two year terms.

At each annual general meeting approximately one half of the directors terms come up for renewal. This staggered term policy allows for continuity on the board of directors.

The nominating committee is seeking candidates to run for vacating Board of Directors' positions to serve a two year term on the board of directors beginning with the 2007 year (starts Dec. 2007). It is the responsibility of the Board of Directors to insure the proper conduct of the administrative affairs of the Club, the fulfillment of duties by its officers and to determine all matters of Club policy. Nominations must be received by November 5, 2007 and candidacy statements must be received by the same date. In case of a contested election, statements and ballots will be made available in an AGM info package to all valid registered members prior to the AGM. Any eligible member may be nominated for an elected board position. Eligibility of all board positions recommends one year previous membership in the BMW Car Club of BC. (can be waived)

Duties of all board positions include attendance at regular board meetings, support for club events and activities, recruitment of member participation and membership growth, and to act as a contact person for members. President: Presides at all board meetings; acts as an ambassador to other car clubs and organizations; and is the chief executive officer of the Club.

Vice-President: Assists the President; proposes, coordinates and promotes meetings and activities; and performs other duties assigned by the President or Board.

Secretary: Takes or delegates the taking of complete minutes at all board meetings; maintains Club records (except financial) and performs correspondence duties assigned by the President or Board.

Treasurer: Responsible for the Clubs money and assets; maintains accurate records of the Clubs financial affairs;  and drafts all financial reports as needed. Also, performs other duties assigned by the President or Board.

Member Services Coordinators: Send out new member packets; call on non-renewals; and maintain Club literature at various local businesses and Club supporters. Also maintains up to date membership roster; provides new member list each month to the Ausblick; and provides mailing lists as needed.

In addition volunteers are need for the following:

Concours Coordinator: Coordinates the annual Concours d'Elegance, including recruitment of all event volunteers, promotion and overseeing the success of the Clubs biggest event.

Social coordinator: Coordinates the social activities of the club.

Tour Coordinator: Plans, coordinates and implements four to six Club driving tours annually.

Please submit nomination form to BMW CCBC at PO Box 3452, 349 W. Georgia St, Vancouver, BC V6B 3Y4., or by email to: agm@bmwccbc.org All nomination forms must be received by November 5, 2007. Please write a candidacy statement to the club membership expressing your interest in participating in club leadership. Keep statements within 250 words or they will be truncated at 250 words. Statements should be emailed to the board using agm@bmwccbc.org. Statements will not be corrected for grammar or spelling but may be edited to delete false or misleading information. All candidacy statements must be received by November 5, 2007

Candidates for election to the board of directors are volunteers who have put forth their names or have been nominated by the nominations committee. Some may be previous board members who are standing for re-election. Members in good standing who are willing to serve, and have shown interest in matters of the club are selected from the membership list and asked if they will stand for election.

For the 2007 AGM we have a list of 5 candidates for the board. All are returning directors who have let their names be put forward as board candidates. If there are no additional nominations, the nomination committee wil make a recommendation at the AGM to accept the returning candidates, and that they be declared elected by acclamation.

We recognize that not all members my have the time to attend the AGM in person, but would still like to vote on club matters and the election of Directors.
To that end we will prepare a special AGM info kit that will be mailed to members on request. It includes AGM info and a mail in ballot.
